Alumni Council

Purpose

The Alumni Council provides volunteer leadership opportunities for alumni to strengthen and promote the mission of the Charlotte Country Day School Alumni Association. The Alumni Council serves in an advisory role, for the Alumni Association and under the authority of the Board of Trustees and Head of School, to provide strategic direction, resources, and professional expertise to carry out the school’s alumni relations objectives.

Member Expectations

Alumni Council members are expected to be ambassadors for Charlotte Country Day School and the Office of Alumni Relations and play an active role in building an alumni program that encourages lifelong connections to Country Day by guiding, supporting, and promoting the efforts and initiatives of the Alumni Association. Alumni Council members must be committed to a service of excellence, have strategic thinking and problem-solving capabilities, and be able to work as a team player.

General responsibilities include:

  • Attend and actively participate in the scheduled meetings of the Alumni Council.
  • Have a thorough understanding of the mission and strategic vision of Country Day and the Alumni Association and remain knowledgeable and current about the school and the Alumni Relations program.
  • Be informed and supportive of alumni engagement opportunities such as volunteering, speaking engagements, awards, and events.
  • Serve as a resource for the Office of Alumni Relations by identifying and cultivating alumni leaders and volunteers based on the current needs, priorities, and goals of the Association.
  • Support Country Day’s philanthropic efforts.
  • Foster healthy, open communication between alumni and the school.

Officers

President

The President is responsible for communicating the mission, strategic goals, and committee objectives of the Alumni Association to members of the Alumni Council, other alumni volunteers, and subsequently all alumni constituencies. The President is also accountable for inspiring and motivating alumni to understand the benefits of involvement with and become increasingly engaged and invested in the Alumni Association and in the life of the school. The President presides over all meetings of the Association, including meetings of the Alumni Council and Executive Committee, and helps direct the duties of the other officers and committee chairs. The President chairs the Executive Committee and serves as a member of the Nominating Committee. The President serves a term of one year, except for the first President elected to the reestablished Alumni Council, who will serve a two-year term.

President Elect

The President Elect performs duties assigned by the President and, in the absence or disability of the President, presides over meetings of the Association. The President-elect is next in line to be President of the Alumni Council and is responsible for collaborating with the Director of Alumni Relations to develop a vision and set of goals for his/her upcoming term. The President Elect chairs the Reunion Committee and serves as a member of the Executive Committee and the Nominating Committee. The President serves a term of one year, except for the first President Elect elected to the reestablished Alumni Council, who will serve a two-year term.

Past President

The immediate Past President (“Past President”) serves as an advisor to the President and to the Alumni Council and performs duties assigned by the President. The Past President chairs the Nominating Committee and serves as a member of the Executive Committee. Additionally, the Past President serves as a non-Trustee member of the Advancement Committee of the Board of Trustees. The Past President serves a term of one year, except for the first Past President elected to the reestablished Alumni Council, who will serve a two-year term.

Secretary/Treasurer

The Director of Alumni Relations for Country Day serves as the Secretary/Treasurer of the Alumni Council. The Secretary/Treasurer is responsible for keeping accurate records of the acts and proceedings of all meetings of the Alumni Association. The Secretary/Treasurer is also accountable for receiving, depositing, or disbursing all funds of the Alumni Association and for keeping accurate financial records. The Secretary/Treasurer serves as a member of the Executive Committee and the Nominating Committee and performs other duties as may be assigned to him/her by the Alumni Council.

Role of the Director of Alumni Relations

The director of Alumni Relations serves as an ex-officio, non-voting member of all Alumni Council committees. He/She is responsible for administering the Alumni Relations program budget and producing and distributing alumni communications on behalf of the school and Alumni Association. Additionally, the director of Alumni Relations is responsible for managing of the Class Agent program and other alumni volunteer relations and for maintaining the alumni database in coordination with his/her Advancement team members.

Standing Committees

Nominating Committee

The Nominating Committee is responsible for identifying and cultivating future Alumni Association leaders and volunteers and for overseeing the nomination process and voting for Alumni Council members. The Nominating Committee also assists the Office of Alumni Relations in coordinating the nomination process and selection of candidates for awards presented by the Alumni Association. The Past President chairs the Nominating Committee.

Reunion Committee

The Reunion Committee is responsible for helping plan, organize, and promote Reunion Weekend events and activities, including individual Class Reunion parties, and for supporting and participating in fundraising activities related to reunion giving. Additionally, the Reunion Committee assists the Office of Alumni Relations in recruiting Class Reunion volunteers. The President Elect chairs the Reunion Committee.

Nominations

The Nominating Committee, chaired by the Past President, works with the Office of Alumni Relations to oversee the nomination process for Alumni Council members. Candidates may be self-nominated or nominated by another member of the Alumni Association. The Nominating Committee will present a slate of qualified candidates to the Head of School for approval. Pending approval, the Nominating Committee will elect new members of the Alumni Council.
